The United Nations World Food Programme is the world’s largest humanitarian agency fighting hunger worldwide. The mission of WFP is to help the world achieve Zero Hunger in our lifetimes. These jobs are found in Country Offices (COs), Regional Bureaus (RBs), and Headquarters (HQ). The Job holders report to a Head of Unit, Chief, Administration Officer, or the designate.
At this level job holders are expected to take responsibility for completion of a range of processes and activities requiring some interpretation of standard guidelines/practices. Job holders are able to recommend a course of action to staff at various levels and may allocate tasks to other support staff.
To support effective delivery and maintenance of client-focused, value-for-money oriented quality administrative practices.
STANDARD MINIMUM QUALIFICATIONS
Education: Completion of secondary school education. A post-secondary certificate in the related functional area.
Language: General Service (Headquarters):
Fluency (level C) in English language.
Fluency (level C) or intermediate knowledge (level B) of another official language may be required depending on the location of the post or area of responsibility.
General Service (Field): Fluency in both oral and written communication in the UN language in use at the duty station and in the duty station’s language, if different.
DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE
- Has demonstrated an ability to perform all routine administrative activities in line with WFPs operating standards through day to day work.
- Has supported in providing ad-hoc guidance to new staff members.
KEY ACCOUNTABILITIES (NOT ALL-INCLUSIVE)
1. Check the provision of a range of services, including facilities and light vehicle management, travel (transport Coordination and schedules of activities and trips, including TEC processing) with the drivers and the use of Humanitarian hub by FO staff), protocol related (coordination of reservations, reception of visitors, deliver of various type of correspondence) etc. Maintaining information, to contribute to the provision of a safe and comfortable working environment.
2. Collate and process information including dissemination to support the production of standard documents and reports for the unit, to enable decision-making and the effective management of resources.
3. Manage and maintain paper and electronic records within the area of responsibility in accordance with established procedures, to ensure swift and easy data access as required.
4. Undertake research and perform basic analyses of data, to contribute to the provision of accurate information and effective management of resources.
5. Be a focal point for internal queries, to facilitate the provision of efficient and effective resolution of daily issues.
6. Provide inputs to routine methods and practices in own area of work, to support the continuous improvement of services provided
7. Raise Micro Purchase Orders and Purchase Requisitions ensuring that WFP procurement procedures are followed.
8. Maintain Service Entry Sheets or Good Receipt Notes, ensuring that procedures are following, including all relevant supporting documentation.
9. Perform invoice match for Admin related invoices, using WFP Invoice Tracking System and follow up with relevant units to ensure that payments are done on time.
10. Identify potential suppliers and follow up with the Vendor registration process to diversify the Vendors database in the city.
11. Ensure the implementation of Admin SOPs at FO level.
12. Effective management of WFP Assets, including regular reconciliation of assets between the corporate system (GEMS) and Manual tracking sheets prepared locally.
13. Effective management of the fleet.
14. Preparation and submission of regular monthly Admin reports.
15. Perform any other admin related tasks.
